Account Statement Generator

Charges, payments and a running balance for a period.

An account statement lists every charge and payment for a customer over a period, with a running balance after each line. It shows at a glance what’s still owed — useful when a customer has several invoices or pays in parts.

List invoices and payments for the period and the statement works out the running balance line by line, ending with the balance due.

How to make an account statement

  1. Add your business and the customer the statement is for.
  2. Set the statement date and the period it covers.
  3. Enter the opening balance carried over from the last statement.
  4. Add each invoice as a charge and each payment as a payment, with dates and references.
  5. Check the running balance, then download and send the statement.

What to include on an account statement

  • Your business details and the customer’s name
  • The statement date and the period covered
  • The opening balance
  • Each invoice (charge) and payment by date, with references
  • The running balance after each line
  • Total charges, total payments and the balance due

When to send a statement

Send a statement at the end of a month or quarter to customers who buy on account, or whenever you need to show what’s outstanding across several invoices. It doesn’t replace invoices — it summarises them.
