Purchase Order Generator

Order goods or services from a supplier, on paper.

A purchase order (PO) is the document a buyer sends to a supplier to order goods or services at agreed prices. Create one with the vendor, delivery address and date, line items and an authorised signature, then send the PDF.

Put an order in writing before the supplier ships. The PO sets the items, prices and delivery terms both sides agreed.

How to create a purchase order

  1. Add your business (the buyer) and the vendor you’re ordering from.
  2. Enter where and when the goods should be delivered.
  3. List each item with quantity and unit price.
  4. Add tax, discount or shipping charges.
  5. Fill in who authorised the order, then download and send it to the vendor.

What to include on a purchase order

  • A PO number and order date
  • The vendor’s name and address
  • Your delivery address and the expected delivery date
  • Each item with quantity, unit price and line total
  • Shipping method, tax and the order total
  • Who authorised the order

When to send a purchase order

Send a PO before the supplier ships, so both sides agree on items, prices and delivery. When the invoice arrives, match it against the PO and the delivery before paying. The supplier may reply with a sales order to confirm.
